    Responsibilities

    SMS Data Products Group, Inc. is seeking an energetic individual to join our proposals and business development (BD) team as a Proposal Coordinator. The person in this position will work closely with proposal managers and other BD staff including capture managers, program/operations leads, writers/editors, teaming partners, and graphics personnel to develop compliant Federal proposals. This person will be responsible for assisting in the management and coordination of processes, products and issues for proposal development efforts. We require an individual with a positive attitude, can-do team spirit, strong work ethic, and experience working within a fast-paced shifting-priority environment. An understanding of computer applications and general knowledge of the Shipley proposal process is preferred. A strong command of vocabulary and business writing standards is required.

     

    Responsibilities include:

    • Successfully complete assignments from the proposal managers and corporate managers
    • Support the Proposal Development Process for all proposals including logistical planning, scheduling, briefings, presentations, technical interchanges, strategy sessions, including note recording and minutes, etc.
    • Modify templates to meet proposal specifications as requested by  the proposal managers
    • Create draft/annotated outlines based on the Request for Proposal (RFP) and Performance Work Statement (PWS) documents
    • Support the Proposal Development Process for the company's Government-Wide Acquisition Contracts (GWACs), Program Management Office (PMO) re-competes, and new task order proposals
    • Support the proposal managers in creating and managing proposal calendars and tracking proposal schedule events and activities, reporting progress via SMS proposal tracking mechanisms
    • In collaboration with the proposal managers, ensure there is a complete listing for each proposal effort of all  writing assignments with due dates for completion in preparation for the Proposal Review Process
    • Support proposal managers and capture managers in presentations to senior management during working sessions on the finalization and approval of winning strategies, win themes, discriminators, and added value offerings
    • Support the proposal managers and win managers in the presentation to senior management personnel on the criteria established for subject matter experts (SMEs), and technical writer contributors required to fully respond to all technical RFP requirements
    • Prepare bid sites on SMS SharePoint Teamwork to be used for proposal work-effort collaboration and coordination under the oversight of the proposal manager
    • Assist in the distribution and collection of data from internal staff, external consultants and partner organizations through follow up overseen by the proposal manager
    • Assist proposal manager in the posting of proposal effort materials to the appropriate bid site in Teamwork
    • A minimum of three (3) years demonstrated experience working in a proposal development team of mid/large sized government contracting company is required
    • Ability to multitask and organize multiple tasks simultaneously to meet deadlines and to meet standards of the product ensuring that there is accuracy and timeliness
    • Ability to maintain a written record of all tasks that are being provided and demonstrate written evidence of successful completion of assigned tasks
    • Knowledge and experience in configuration management of proposal products (e.g., volume drafts, schedules, compliance matrices, etc.), especially in the face of solicitation modifications, is required
    • Ability to take direction and must show great attention to detail
    • Knowledge of GWAC and indefinite delivery/indefinite quantity (ID/IQ) contracts is desired but not essential while knowledge of task order contracts is mandatory
    • Knowledge of Microsoft Office (Word, Excel, Project, Visio) and familiarity with Adobe Pro is required. Knowledge of Microsoft SharePoint is essential.
